    Executive Secretary


    • Responsible for maintaining and overseeing Director's calendar, paperwork, telephone calls and messages.
    • Organization of Director's business travel and associated paperwork (pre and post).
    • Maintain overview of filing systems including copies of all purchasing and expenditure paperwork, copies of all letter head correspondence, fax confirmations, incoming formal/letters, etc.
    • Correct filing of paperwork in a well labeled system
    • Coordination for Director's signature for weekly timekeeping sheets and forwarding of reviewed forms to HR.
    • Responsible for ordering of office supplies, including all types of letterhead and folders, business cards, etc.
    • Primary liaison with IT for the department's new staff set-up and computer, printer and telephone issues and updates.
    • Maintain overview of Administrative Assistant's activities, coordination of their work and responsibilities and contribute to their yearly evaluation & training plan.
    • Manage department driver; organization work and overview of vehicle, correct paperwork for maintenance, etc.
    • Other tasks as required.
